Privacy Notice - The Service Academy
Data protection legislation is there to make sure we keep your information safe. We take your right to privacy seriously and want you to feel comfortable with the information we have access to and how we plan to use it.
This privacy notice explains how Network Rail Infrastructure Limited use your personal information. Personal information is information that is about you and which identifies you. This notice explains who is responsible for the personal information that we collect about you, what personal information we collect, how we will use such personal information, who we may disclose it to and your rights and in relation to your personal information.
Network Rail are the data controller for the purpose of data protection law, in respect of your personal information collected or obtained as outlined within this privacy notice. This is because we dictate the purpose for which your personal information is used and how we use your personal information.
SignalCX are a data processor and controller - they use the data to email the Service Animals™ link to participants of the Service Academy, and send Service Animals™ links to licences, videos & reports'.
City & Guilds are a data controller - they provide accreditation to participants who complete the Service Academy programme.
What Personal Information will we gather and hold about you?
- Name
- Organisation
- Employment email address
- Date of Birth.
Why do we use and collect your personal information?
A) To enable you to book onto and attend a Service Academy session and receive third party accreditation upon completion of the course.
B) To carry out high level analysis after the event to see how successful this was, for example percentage of attendees from Network Rail.
C) To ensure that course participants have also completed Service Animals™ and will also be enrolled for that if not.
Legal basis for using your personal information
The data subject has given consent to the processing for one or more specific purposes.
Processing is necessary for the purposes of the legitimate interests pursued by the controller or by a third party – see B above.
How will we use the personal information we hold about you?
We will use the data to:
- Sign you up to your chosen Service Academy session
- If opted in, to provide information about future sessions
- Send Service Animals™ links to participants who have not previously completed the Service Animals™ questionnaire.
- Upload information to the City & Guilds system to ensure you receive digital credentials upon completion of the course. City & Guilds may transfer your data to the following organisations, provided that adequate safeguards are in place, for the purposes of supporting the issuance of Digital Credentials:
- Credly Inc, located in the United States of America
- A data processor of the City & Guilds located in India.
- High level analysis to see how successful the Service Academy is.
How do we store and protect your personal information?
The data described above is stored on the Service Academy portal.
Access to the Service Academy portal is controlled via password protected accounts for specified individuals within Network Rail.
Data is also transferred to City & Guilds to enable the provision of Digital Credentials.

We have procedures in place to deal with any suspected personal data breach and will notify you (and any applicable regulator) of a breach where we are legally required to do so.
How long will we keep your personal information?
Your data will be retained for 5 years.
